ADMINISTRATOR

About the Role
CommX is looking for a proactive and highly organised Office Administrator to support the day to day operations of our growing business. This is a key role that ensures our office runs efficiently while providing essential administrative support to our project teams working across Europe.
You will be responsible for coordinating travel and accommodation, managing PPE and office supplies, maintaining company records, and supporting the wider team with a variety of administrative tasks. The ideal candidate will be organised, detail oriented, and able to manage multiple priorities in a fast paced environment.
Key Responsibilities
Coordinate travel, accommodation, and transport arrangements for employees working on projects across Europe.
Manage PPE stock levels, issue equipment to staff, and maintain accurate inventory records.
Order office supplies and ensure the office is fully stocked and organised.
Provide general administrative support to management and project teams.
Maintain employee records, documentation, and company databases.
Assist with the onboarding of new employees, including preparing documentation, equipment, and PPE.
Schedule meetings, training sessions, and company events.
Process purchase orders, invoices, and other administrative paperwork.
Answer telephone calls and email enquiries professionally, directing them to the appropriate team members.
Maintain accurate digital and paper filing systems.
Liaise with suppliers, hotels, travel providers, and other external partners to support business operations.
Support health and safety administration, including maintaining PPE records and documentation.
Assist with the preparation of reports, spreadsheets, and other business documents.
Support the continuous improvement of office processes and administrative systems.
Skills & Experience
Previous experience in an Office Administrator, Administrative Assistant, or similar role.
Excellent organisational and time management skills.
Strong written and verbal communication skills.
Proficient in Microsoft Office, including Outlook, Word, Excel, and Teams.
Ability to prioritise workloads and work independently in a fast paced environment.
High level of accuracy and attention to detail.
Professional, friendly, and approachable manner.
Experience coordinating travel and accommodation is desirable.
Experience managing PPE, stock control, or procurement is advantageous but not essential.
